Recurring Tasks
Automatically create and assign tasks on a schedule, and let AI suggest recurring rules from your project history.
What are recurring tasks?
Recurring tasks let you describe a piece of routine work once — for example "Monthly report", "Weekly backup check", "Month-end close" — and have Z-Tasks create and assign it automatically on the schedule you choose. No more remembering to file the same task every week or month.
Recurring tasks are managed by project managers in Project → Settings → Recurring tasks.
Create a recurring rule
- Open your project and go to Settings.
- Scroll to the Recurring tasks panel and click Add recurring task.
- Fill in the rule:
- Rule name — an internal label, e.g. "Month-end report".
- Frequency — Daily, Weekly, Monthly, or a Custom schedule.
- Weekly lets you pick the day of week; Monthly the day of month; both let you set the time of day.
- Custom accepts a standard cron expression for advanced schedules.
- Issue title — the title of each generated task. You can use the tokens
{{date}}and{{month}}, which are filled in automatically — e.g. "Monthly report —{{month}}". - Description, Type, Priority — optional defaults for each task.
- Due in (days) — optionally set a due date N days after each task is created.
- Assign to — pick one or more members; every generated task is assigned to them.
- Make sure Enabled is on, then Create.
From then on, Z-Tasks creates the task automatically at each scheduled time, assigns it, and notifies the assignees — exactly like a manually created task.
Run, edit, pause or delete
Hover a rule in the list to:
- ▶ Run now — generate a task immediately without changing the schedule (handy for testing).
- ✎ Edit — change the schedule or the task template.
- 🗑 Delete — remove the rule (existing tasks it already created are kept).
Toggle Enabled off to pause a rule without deleting it. The list shows each rule's schedule, its next run time, and how many tasks it has generated.
Let AI suggest rules from your history
If your team has been creating the same task by hand for a while, Z-Tasks can spot the pattern and propose a ready-made rule.
- In the Recurring tasks panel, click ✨ Suggest from history.
- Z-Tasks analyses the project's past tasks, finds work that repeats on a regular cadence, and lists suggestions. Each suggestion already has a sensible schedule and assignee inferred from your history, plus a short reason.
- Click Add on any suggestion to turn it into a real recurring rule. You can edit it afterwards like any other.
AI suggestions reuse your workspace's existing AI settings. If AI isn't enabled, you'll still get pattern-based suggestions (without the AI-written wording), and you can always create rules manually.
Tips
- Use
{{month}}in the title for monthly work so each task is clearly dated. - Set Due in (days) to give recurring work a deadline (e.g. "complete within 3 days").
- Schedules run in the workspace's time zone.
