Managing Contacts

Learn how to add, search, sort, view, edit, and delete contacts in Address Books.

Searching Contacts

Use the search bar at the top of the contact list to filter by name, email address, or company name. Results update automatically as you type (with a short debounce delay to avoid unnecessary requests).

Sorting Contacts

Use the Sort dropdown next to the search bar to change the order of the contact list:

Contact Groups

Contacts are automatically grouped by organization:

  • Organization groups — Contacts who are members of your Keycloak organization appear under their organization's display name.
  • External — Contacts who are not affiliated with any organization you belong to appear in a separate "External" group at the bottom.

Adding a Contact from Z-Mails

The quickest way to save a new contact is directly from an email you received:

  1. Open an email in Z-Mails.
  2. Click on any email address in the To, CC, or From field — a contact info popup appears.
  3. If the address is not yet in your Address Books, an Add to Address Book button is shown. Click it.
  4. The contact is saved immediately with their name and email (Work label, Primary). The Address Books list updates in real time without a reload.

If the address is already in your Address Books, the popup shows "Already in Address Book" instead of the button — no duplicate is created.

Creating a New Contact

  1. Click the New Contact button (top-right of the contact list).
  2. Fill in the contact's details in the form that opens on the right pane.
  3. Click Save.

Required field: Display Name is the only mandatory field. All other fields are optional.

Email & Phone Labels

Each email address and phone number has a label to describe its context:

Primary Marker

When a contact has multiple emails or phones, mark one as Primary by clicking the star (★) icon next to it. The primary entry is shown first and used by default in email autocomplete in Z-Mails.

Viewing a Contact

Click any contact in the list to open its full detail view on the right pane. The detail view shows:

  • Avatar with initials (or photo for internal users)
  • Display name, job title, company
  • Organization badge (internal org name or "External")
  • All emails — clickable mailto: links
  • All phones — clickable tel: links
  • All postal addresses
  • Birthday, website, tags, notes

Editing a Contact

  1. Open the contact's detail view by clicking it in the list.
  2. Click the Edit button in the detail header.
  3. Update the fields as needed.
  4. Click Save.

Deleting a Contact

  1. Open the contact's detail view.
  2. Click the Delete button in the detail header.
  3. Confirm the deletion in the dialog that appears.

Warning: Deletion is permanent and cannot be undone.

Real-Time Sync

When another tab or window in the same workspace adds, updates, or deletes a contact (for example, from Z-Mails' contact quick-add), the list here updates automatically without needing a page reload.
